How to Book a Tanzania Safari

A step-by-step explanation of the booking process — from your first enquiry to stepping into the safari vehicle. No surprises, no jargon, just the process explained honestly.

Booking a Tanzania safari should feel like the beginning of the adventure — not a confusing bureaucratic process. This page explains exactly how the process works with Magical Tanzania, what to expect at each stage, and what your options are if circumstances change.

We have been doing this since 1978, and we have seen every variation of a safari booking — last-minute changes, family emergencies, airline disruptions, and everything in between. We know how to handle it, and we will tell you plainly what your options are at every stage.

The Process

Seven Steps from Enquiry to Safari

Every Magical Tanzania safari follows the same process. Here is what happens at each stage.

Initial Enquiry

You reach out via WhatsApp, email, or the inquiry form with your basic details: estimated travel dates, number of travellers, safari experience level, accommodation preference, and any specific wildlife or parks you want to prioritise. There is no commitment at this stage — this is a conversation, not a contract.

The more detail you provide upfront, the more accurate your proposal will be. Even a rough date range and group size is enough to start.

Proposal Conversation

We respond within 24 hours with initial thoughts — recommended parks, route options, camp suggestions, and a rough idea of cost. This is a dialogue: you can push back on anything, ask for alternatives, or request changes. We have done this since 1978 and we know which itineraries actually work in the field versus which look good on paper.

Tip

Ask us about the specific camps you have seen mentioned elsewhere — we know every camp in Tanzania personally and can tell you the honest differences between similar options.

Detailed Proposal

Once we have agreed on the outline, we send a detailed proposal document: day-by-day itinerary, camps and room categories, included activities, park fees, any exclusions, and the total cost. This is a proper document you can take time to review — not a price list or a catalogue selection.

Tip

A proposal is valid for 14 days. Prices can change if camps are fully booked or if you are requesting changes after this window.

Deposit and Confirmation

To confirm your safari, we require a 30% deposit. This secures your booking with the camps and locks in your guide. Without a deposit, camps are released for other bookings — peak season camps fill 6-12 months in advance. Once your deposit is received, you receive a written confirmation with all your booking details.

Tip

We accept bank transfer, Wise, and major credit cards. There is a 3% card processing fee — bank transfer is preferred for larger amounts.

Final Balance

The remaining 70% balance is due 60 days before your arrival date. For bookings made within 60 days of arrival, the full balance is due immediately. We will send a reminder 90 days out and again at 30 days.

Tip

If your plans change after you have paid, let us know as early as possible — we have a fair adjustment policy and will always try to accommodate date changes.

Pre-Arrival Preparation

Four to six weeks before arrival, we send a comprehensive pre-departure guide: visa information, vaccination requirements, what to pack, fitness advice, reading material, and contact details for your lead guide. We are available to answer questions right up to departure.

Tip

Start malaria prophylaxis 2 weeks before entering Tanzania — consult your doctor or a travel health clinic at this stage.

Arrival and Safari

You are met at Kilimanjaro International Airport by your Safari Director or transfer driver. From that moment, every detail of your safari is managed. Your lead guide collects you from your Arusha hotel on day one of the safari proper, and is with you every day in the field until your final drop-off.

Tip

Your guide will brief you each evening on the following day's plan. Listen carefully — this is also your best opportunity to ask questions about what you have seen that day.

Full access to all camps, flexible dates, time to plan a genuinely bespoke itinerary.

Good camp availability at most tiers. Some peak properties may be gone. Still comfortable for most safaris.

Last-minute territory. Limited camp options, possible peak-season surcharges. We can still make it work — we have done it before.

Common Questions

Booking Questions

How far in advance should I book a Tanzania safari?
For the best camps and the smoothest planning, book 4-6 months in advance. Ultra-luxury camps in this tier fill 12-18 months ahead of peak season (July-October). For standard luxury camps, 3-6 months is usually sufficient. If you are travelling during green season (March-May), 2-3 months is often fine — but the earlier the better, regardless of season.
What is your cancellation policy?
Deposits (30%) are non-refundable in most cases. If you cancel more than 60 days before arrival, any amount paid above the deposit can be held as a credit for a future safari within 12 months. Cancellations within 60 days of arrival forfeit the full balance. We strongly recommend purchasing travel insurance that covers trip cancellation at the time of booking.
Can I change my travel dates after booking?
Yes — date changes are usually possible without penalty if the new dates are within the same calendar year and camps have availability. If you want to change camp properties or extend the itinerary, costs will be recalculated. Date changes within 30 days of arrival may incur change fees from camps. Contact us as early as possible for any adjustments.
Is it safe to pay by credit card?
Yes — we accept all major credit cards. There is a 3% processing fee on card payments which we pass on at cost. Bank transfers (SWIFT or Wise) are preferred for larger amounts and avoid the processing fee. For amounts above $5,000, we recommend Wise for the best exchange rates and lower transfer fees.
What is included in the safari price?
Our detailed proposals specify exactly what is included, but as a general rule: accommodation, all meals and drinks on safari, a private guide and vehicle, park fees, all game drives and activities listed in your itinerary, airport transfers, and pre-departure planning support. What is typically excluded: international flights, travel insurance, visa fees, gratuities for guides and camp staff, personal shopping, and spa treatments at camps that charge separately.
Do I need a visa for Tanzania?
Most nationalities require a visa for Tanzania. The tourist visa ($50, multiple entry) is available on arrival at JRO and DAR airports, or can be pre-applied for online via the Tanzania Immigration website. If you are also visiting Zanzibar, the visa covers the mainland only — Zanzibar is a separate visa on arrival at Zanzibar Airport ($25). US, UK, and EU passport holders can apply on arrival. Allow 30-60 minutes at immigration on arrival.
What happens if I need to cancel due to a travel warning or emergency?
We handle these situations case by case. If Tanzania issues a travel warning for your nationality, we will work with you to reschedule or, if rescheduling is not possible, apply your deposit and balance paid as a credit for a future booking. This is why travel insurance with trip cancellation coverage is essential — it protects you against unforeseen events beyond anyone's control.
How do I know the safari is confirmed?
You receive a written booking confirmation by email, with: your booking reference number, full itinerary, total amount paid and balance due, list of confirmed camps with contact details, your lead guide's name and phone number, emergency contact details, and pre-departure guide. If anything in the confirmation does not match what you agreed, contact us immediately.
